QuickBooks Online has no sales-order record, so a customer purchase order goes in as an Estimate (a draft you convert when you are ready to bill) or an Invoice (money owed, posted at once). You can key it by hand, use a parser plus an automation tool, or use order-entry software that reads, matches, reviews and posts it.
Estimate or Invoice: which record to use
Use an Estimate when you confirm stock, pricing or delivery before you bill: it records the order without touching your receivables, and you convert it to an Invoice later. Use an Invoice when you bill as soon as the order is accepted: it posts straight away as money the customer owes.
Whichever you choose, keep the customer’s PO number on the record so you can find it again, and decide it once for the whole company so your team does not mix the two.
The real work is matching, not typing
Typing the lines is the visible cost. The slower part is working out which QuickBooks customer sent the PO and which of your items each of their part numbers means, then catching the quantity or pack size that does not look right.
Any approach that skips that step either leaves it to a person at the end or posts a guess. A guessed line in QuickBooks is harder to fix than a line that was never posted.
Where Poppelo fits
Poppelo reads each PO, matches the customer and items against what it pulled from QuickBooks, holds anything uncertain for you, and creates the Estimate or Invoice once you approve. Sales tax, freight and discounts follow your QuickBooks settings, and Poppelo checks the created total against the approved order.
QuickBooks Online is finishing Intuit production verification, so connecting a company is not open yet. You can start a trial today: Poppelo reads and checks your orders now, and you connect QuickBooks the day it opens. QuickBooks Online is for US companies at launch.
Six steps from customer PO to QuickBooks Online
Choose Estimate or Invoice
Decide once, for the company, which record a customer PO becomes.
Get your customers and items in order
Make sure every customer who sends POs exists in QuickBooks, and that your items carry the SKUs you sell under.
Collect POs in one inbox
Have customers send orders to one address, or forward your existing inbox, so nothing arrives somewhere nobody checks.
Read and match each PO
Turn the document into lines, then match the customer and each of their part numbers to your QuickBooks records.
Review what is uncertain
Check any line whose part number, quantity or price does not match cleanly, with the PO open beside it.
Post and check the total
Create the Estimate or Invoice, then compare its total with the PO so tax or freight differences are caught the same day.
| Approach | What it takes | Where it breaks |
|---|---|---|
| Manual entry | A person reads each PO and keys the Estimate or Invoice | Time per order, and typos in part numbers and quantities |
| A template parser or AI step plus an automation tool | A parser or AI step per layout, then a Zap or scenario that creates the record | You build the customer and item matching, the review step and the upkeep yourself |
| Order-entry software such as Poppelo | Connect the inbox and QuickBooks, then review flagged lines | Costs more than a parser per document; QuickBooks Desktop is not supported |
What this method does not establish
- QuickBooks Online is for US companies at launch.
- QuickBooks Online calculates its own sales tax, so the tax on the created record can differ from the tax printed on the PO.
- Poppelo does not connect to QuickBooks Desktop.

Questions
Does QuickBooks Online have sales orders?
No. QuickBooks Online has no sales-order record, so a customer PO is entered as an Estimate or an Invoice.
Should a customer PO be an Estimate or an Invoice?
An Estimate if you confirm stock or pricing before billing, since it does not touch your receivables; an Invoice if you bill as soon as you accept the order.
Can Poppelo post purchase orders into QuickBooks Online?
Not yet. The connection opens once QuickBooks Online finishes Intuit production verification. A trial started now reads and checks your orders, and you connect QuickBooks the day it opens.
Does this work with QuickBooks Desktop?
Not with Poppelo. Its connector is for QuickBooks Online only.
